Proofreading and Editing Press Releases

WordRU’s professional proofreaders are experienced in editing outstanding press releases prepared by non-media people who have something they wish to draw to the attention of the public whether a product, service or news item. The object is to have journalists develop the press release into media articles for dissemination via newspaper, magazine, journal, newswires, radio, and television networks.

Press releases differ from media articles, which are developed by journalists from a compilation of facts for publication in the news media.  Often press releases are developed by an in-house staff member and distributed via the corporate Web site press room.  Many journalists scan the corporate press rooms for newsworthy press releases that may find their way on to large news sites such as CNN, BBC News, SMH or even Google and Yahoo News.

Elements of outstanding press releases include:

  • Eye-catching Headline
Used as a brief summary of the press release to grab the attention of journalists and the public.

  • Date and Location
Date of release and (usually) the originating city/location.

  • Copy
First paragraph should answer the basic questions of who, what, when, where and why.  The remaining one or two paragraphs provide the actual content of the release; the details relevant to the press release, including background, any statistics if appropriate and any other relevant information that may be helpful.

  • Company Information
This is often referred to as the Boilerplate, and is used to describe the short section that gives independent information about the company, organization or individual making the news release.

  • Public Relations Contact Information
This concluding section should provide name, phone number, mailing or e-mail address of the PR person or other person responsible for making the news release.

In addition to proofreading / editing your press release for correct English usage, including grammar check, spelling, tense, punctuation and typographical errors, WordsRU’s online editors will consider the impact of your headline, the length of your sentences, word choice, and use of repetitious or difficult to understand terms to ensure that your news release is clear and straightforward, and conveys all the necessary information for it to generate the response you desire.

The proofreading, or a more comprehensive edit, can be to either British or American English and will be returned in two documents; a marked changes format showing the changes made and a revised ‘clean’ version that incorporates those changes.
